Safeaxis Group FZC (trading as SafeAxis Group) is a Free Zone Company registered in Sharjah Publishing City Free Zone, United Arab Emirates under licence number 4429564.01. We are the data controller for the personal data described in this notice.

• Contact details — name, email address, organisation, role, when you email us, request access to an application, or request engagement information.
• Enquiry content — any message you send us about your interest, scope, or requirements.
• Engagement information — once a commercial relationship begins, additional details necessary to deliver the engagement.

Information collected automatically when you visit our website

• Server logs — IP address, browser type, device type, referring page, and time of visit. This is collected by our hosting provider (Cloudflare) for the purposes of website security and performance.
• Cookies and similar technologies — described in our Cookie Notice.

Information we do not collect

We do not collect special categories of personal data through this website (health, biometric, religious, political, or similar sensitive categories). We do not run any advertising trackers on this website.

• To operate, secure, and improve our website.
• To comply with legal, regulatory, and accounting obligations applicable to us in the UAE.
• To communicate with you about engagements, where you have an existing commercial relationship with us.

We rely on the following lawful bases under the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and, where relevant, the EU/UK General Data Protection Regulation:

• Consent — when you voluntarily contact us or provide information.
• Performance of a contract — when we deliver an engagement you have commissioned.
• Legitimate interests — for website security, fraud prevention, and basic analytics, balanced against your rights.
• Legal obligation — where retention or disclosure is required by UAE law.

5. Who we share data with

We share personal data only with the parties below, and only where necessary:

• Hosting and infrastructure providers (e.g., Cloudflare for website hosting and security; Zoho Mail for our email service) — under their respective data processing terms.
• Senior collaborators engaged on your specific engagement — under written confidentiality and data-handling agreements with us.
• Professional advisors (legal, audit, accounting) where confidentially required.
• Regulators and authorities where we are legally required to disclose.

We do not sell, rent, or trade personal data. We do not share personal data for marketing purposes.

SafeAxis Group operates from the UAE. Some of our infrastructure providers and senior collaborators are located outside the UAE. Where personal data is transferred internationally, we rely on appropriate safeguards including written confidentiality agreements, data processing terms, and (where applicable) standard contractual mechanisms recognised under the relevant data protection law.

We apply organisational and technical safeguards proportionate to the sensitivity of the data we hold. These include access controls, encryption in transit, vetted infrastructure providers, written confidentiality agreements with collaborators, and a culture of data minimisation. No system is perfectly secure, but we take our responsibilities seriously.

10. SafeAxis applications and data sovereignty

Our productised applications (such as SafeSite AI, SafeAxis HR Platform, Food Safety Console, ISO 45001 Readiness Engine, BCP Auditor, Carbon Auditor, and RAMS Generator) are designed to operate within the client's own environment. Where these applications are deployed:

• Operational data entered into the application remains on the client's own device or within the client's controlled environment.
• The application's knowledge layer ships embedded — no third-party cloud AI is involved.
• SafeAxis Group does not have access to the operational data the client processes through the application unless the client expressly shares it with us as part of a separate engagement.

This data-sovereign architecture is a deliberate design choice. It means that, for the application use itself, SafeAxis Group is not processing client operational data — the client is.

Our services and website are not directed at, and we do not knowingly collect personal data from, anyone under the age of 18.

We may update this notice from time to time. The "Last updated" date at the top reflects the most recent version. Material changes will be communicated through the website and, where you have an active engagement with us, by email.
